How to Sell Surplus Industrial Equipment Across Every Site

Roger Otis King IV · · 7 min read

For a large company, the question is rarely how to sell surplus industrial equipment once. It is how to sell it every quarter, from every plant, without pulling your own people off the work they were hired to do. This guide walks through the path most of our largest clients take: one list, one first sale, then one accountable partner for every site.

Why large companies sell surplus industrial equipment differently

Whenever a business changes, surplus follows. A line is retooled, a product is retired, two plants become one, a storeroom is finally counted. Each change leaves machines, spare parts and controls that no longer have a job.

At a single site, someone handles it as a side project. Across ten or twenty sites, it touches everyone:

  • The plant manager is running production and the cleanout at the same time.
  • Corporate is approving lists that change the next day.
  • Finance wants every disposal checked against net book value.
  • Treasury wants to know what proceeds are coming, and when.
  • Maintenance is asked to take equipment out while keeping the plant running.
  • Purchasing is handed the reverse of its usual job, with no process behind it.

The companies that handle this well give it to one partner, with one list and one process, and keep every asset in view while it moves. That is what the rest of this guide builds toward.

Start with one list

Every good sale starts with a list. It does not need to be perfect. It needs to be complete enough that someone can understand what you have without walking every aisle.

For each item, capture the manufacturer, model, serial number, quantity and location (site, building and bay), and whether it was running when it came out of service. Note anything that goes with it: tooling, manuals, spare parts, software.

For storerooms, export what you can from your maintenance or inventory system. Counts drift over the years, so spot-check the first few shelves against the list. Take anything leased, claimed by another site or under a lien off the list before it goes out.

If several sites have surplus at once, keep them on one sheet with a column for the site. That single habit is the beginning of a company-wide view.

If building that list sounds like one more project on a full plate, we understand. That is why we offer AssetReady™. Instead of working through every item one by one, we agree on a definition up front, then qualify everything that meets it.

Photograph the data plate first

A clear data plate photo tells a buyer more than a page of description. The plate carries the model, serial, voltage, phase, amperage and often the year and capacity.

  • Motors show horsepower, frame size, RPM and enclosure.
  • Transformers show kVA and primary and secondary voltages.
  • Compressors show horsepower, pressure rating and CFM.
  • Pumps show flow in GPM, head, impeller diameter and seal type.
  • Variable frequency drives show input voltage, output amperage and horsepower.
  • CNC and automated machines carry a second plate that matters as much as the first: the controller. Photograph the operator panel and the control cabinet with the door open.

Add one photo of the full machine from the front and one from the side, a shot of any hour meter, and a plain photo of any known damage. For a storeroom, shoot each shelf section wide, then the labels close. A phone in good light is enough. If a plate is missing, say so; a note that the plate is gone is far more useful than a blank line.

Leave the machine whole. Wipe it down, keep its tooling, manuals and spares with it, and hold off on repairs. From there, we take it the rest of the way.

Your first lot: AssetRecovery™

Most relationships begin with a single lot. AssetRecovery™ is a one-time buy: you send the list, and we make one cash offer for all of it.

  1. Send your list. Counts, part numbers and photos, in whatever form you have them. Or ask about AssetReady™.
  2. We make an offer. One cash offer for the lot, priced on your list.
  3. You ship it. Once you accept, it comes to us.
  4. We verify and pay. We check what arrives against the list we bid on. This is where trust is built on both sides.

After the first sale, it gets simpler. Ship a truckload with no list. Every item is inspected, photographed and recorded, you follow our progress as it happens, and one check arrives when it is done.

AssetRecovery™ is where trust begins. For a company whose surplus never stops, the next step is where it grows.

When surplus never stops: AssetMan™

AssetMan™ is built for surplus that never stops: one steady stream from all of your sites to one accountable partner. The other reason to have it is a large job, spread across many sites and many assets, capitalized or expensed.

What you get:

  • One record for every asset. Capitalized or expensed, every asset has one record from the day it is identified to its final sale.
  • Internal first. Your own teams see surplus before the open market, so a spindle idle in one plant can go to work in another instead of being bought new.
  • Every service in one place. Storage, resale, redeployment and recycling, with removal and transport by your team or our own crews and fleet, whichever fits your schedule.
  • Built around you. Approvals follow the way your organization already works, site by site.
  • Discretion. Many of our largest relationships are governed by NDA. Client names, volumes and what moves through our facilities stay private.

AssetMan™ is reserved for qualifying jobs, and every relationship begins with a conversation about your sites.

Every asset visible in your portal

Corporate buyers ask for two things before anything else: visibility and accountability. AssetMan™ answers both with a client portal at assetman.kingsurplus.com.

Every asset is in one place, whether it is redeployed to another site, sold, stored, recycled or dismantled. The plant manager sees what is leaving the floor. Finance sees proceeds by job and by site. Corporate sees every site on one screen instead of a stack of spreadsheets. We have built our own software for this work since 1990, and the portal is that system opened to our clients.

Registration starts with picking your path: AssetRecovery™ for one-time surplus, or AssetMan™ for continuous surplus and large multi-site jobs. Many clients start with the first. Large companies choose the second.

Questions sellers ask

Do we have to join AssetMan™ to sell one lot?

No. Many clients start with AssetRecovery™, one cash offer for one lot, and move to AssetMan™ when they see how it works.

We have surplus at a dozen sites. Where do we start?

Start with one list across all of them, with a column for the site. If that is more than your team can take on, ask about AssetReady™: we set a definition up front and qualify everything that meets it. Then pick AssetMan™ when you register. Coordinating a dozen large facilities is exactly what AssetMan™ was built for. It is reserved for qualifying jobs, so a King Surplus rep talks through your sites with you first, and from there one partner covers every site.

Can our own plants use surplus before it is sold?

Yes. Every AssetMan™ program is set up around your needs, including a holding window we call the tie date, often 90 days, set once for your whole program. New assets go out to your plants in one weekly email, and your teams can claim what they need before the tie date passes. After that, assets move to sale under the rules set for your program.

Who handles removal and transport?

It can be your team or ours, depending on what you need and how fast. Many clients ship to us themselves. When speed or scale calls for it, our own crews and fleet take care of it.

What is the first step?

Register at assetman.kingsurplus.com. A King Surplus rep calls to understand your sites and what you have before your portal opens.

When you are ready

If your company has surplus that keeps coming, or one massive job across many sites, AssetMan™ is built for you. If you have one lot to sell today, AssetRecovery™ makes one cash offer for all of it, scrap metal included. We buy the metal too, through our recycling services, with every alloy tested in-house by XRF. Either way, the path starts at assetman.kingsurplus.com or with a call to 830-995-5000. King Surplus is a four-generation family business in Del Rio and Comfort, Texas, with over 200,000 square feet on 50 acres.
